Warsaw immigration Suspends Online Appointments: What to Do Now

Warsaw Immigration Suspends Online Appointments

In a sudden move that has left many foreigners concerned, the Polish immigration office in Warsaw has suspended the online appointment booking system for key residence permits. The calendar on the official inPOL portal is no longer available for booking slots as of November 7.

If you were trying to book an appointment for a temporary or permanent residence permit and found the option gone, you are not alone. This blog post breaks down what this change means, the official reasons behind it, and, most importantly, what your next steps should be.

What Exactly Has Been Suspended?

The Mazovian Provincial Office in Warsaw, the main authority for many applicants, has confirmed the change. The suspended services include:

The online calendar to book an appointment for submitting:

  • Temporary residence permit applications
  • Permanent residence permit applications
  • Long-term EU resident permit applications
  • The application form for family members of EU citizens on the inPOL portal.

Why did Warsaw immigration suspend the online appointment system?

This is not a temporary glitch but a planned step toward a major change in Poland’s immigration procedures. The suspension is a direct precursor to the new Act on Foreigners, set to take effect in January 2026.

The core goal is full digitalization. The old inPOL system was notoriously difficult to use, plagued by high demand and technical issues. The new law will make electronic applications mandatory, moving away from in-person appointments for most cases

Remember that the suspension now is likely to clear the backlog and prepare for the transition to the new, centralized system.

How to Apply for a Residence Permit Now (Interim Solutions)

You can no longer book an appointment via inPOL, of course, but you can and should still submit your application. The immigration office in Warsaw is still open to the other remaining options.

Here are your current options:

1. Online via the MOS System

The Case Management Module (MOS) is the future of Polish immigration applications. You can already use it to complete and submit your application electronically.

2. By Traditional Post

You can send your complete application package via registered mail to the address of the relevant Voivodeship Office located in Warsaw.

3. In Person (With or Without an Appointment):

Some offices, including the Customer Service Point at Bankowy in Warsaw, are accepting applications submitted in person directly at the registry office, though this may involve waiting in line, but not many applicants are there.

Why do we have these Changes for 2026

The upcoming changes make digital proficiency essential for any foreigner in Poland. The new system will require:

a) Mandatory Electronic Submission

Applications will be filed primarily through the MOS platform, and there will probably be a new MOSII.

b) Trusted Profile (Profil Zaufany)

This digital identity is your key to all online government services, including immigration. If you don’t have one, it is best to go and make it right away near the area.

c) e-Delivery Mailbox (ePUAP) or E-doręczenia

Official decisions and correspondence from the office will be sent here, meaning to your online email address.

What to do if you thinking of applying for TRC, PRC, etc.

Don’t let the suspension delay your application. Here’s what you should do:

  • The suspension is a procedural change, so you can still send applications, and your applications are still being processed.
  • Decide whether to apply via MOS, post, or in-person submission without an appointment.
  • Immediately register for a Trusted Profile and an e-Delivery mailbox; in Polish, you can call this E-doręczenia. This is no longer optional but a necessity.

Author keynote for you

The suspension of the inPOL appointment system is like the end of a typical system that many applicants used and the beginning of a new, digital era. While the transition may cause short-term confusion, the long-term goal is a more streamlined and efficient process for you.

Stay informed by regularly checking the official immigration office website and prepare for a fully digital future in Poland.
